Invitation Email Template

Invitation Email Template

Use our Invitation Email Template to simplify your recruitment process! Read on for helpful tips to maximize your outreach.

Timeline

  1. The entire invitation process should last no more than 30 days. This process begins when the first email is sent and ends when your members are approved on MyKDP.
  2. If sending multiple invitations, plan to send each email approximately 1–2 weeks apart from one another.
  3. Avoid sending emails on the weekends. According to studies from MailChimp and Hubspot, Tuesday is the best day to send emails, with Wednesday coming in second. The best time to send emails varies, so try experimenting with the following:
  • Late morning tends to be one of the most effective times to send emails
  • After 7:00 p.m. can be a great time to engage college students, as many use this time to complete coursework and prepare for the next day.

Content and Personalization

  1. While we have tried to make an effective general template, consider personalizing your emails with specific information about your chapter.
  2. Start your message with a personal salutation that includes your name and officer position.
  3. Add pictures of your local events or ceremonies.
  4. Include the phrases and slogans of your university to give the emails some school spirit!
